Both vendors make roughly the same promise in roughly the same video: someone asks a question in plain English, and a polished document, a tidy summary, or a finished chart appears. The demos are genuinely impressive. They are also filmed in a tenant where every file is named correctly, every meeting was recorded, and nothing has been shared with the wrong department since 2019.
Your business is not that tenant. So the useful question is not which assistant is smarter. It is which one fits the suite you already run, what it will actually do on a normal Tuesday, and what it will expose about how your files are organized. Here is the honest version.
How Each One Is Packaged
The two companies have taken different commercial approaches, and this is where most of the confusion starts.
Microsoft splits the experience. Business subscriptions have received a chat assistant that answers questions and drafts text from what you give it. The deeper product — the one branded Microsoft 365 Copilot, which lives inside Word, Excel, Outlook, and Teams and can reach your own mail, files, and meetings — has historically been sold as a paid add-on on top of your existing licenses. Google has generally gone the other way, folding most of its Gemini business capability into its main Google Workspace plans rather than selling it as a separate line item — though the entry-level plans include less than the mid-tier ones, and some premium AI capability is still a paid add-on.
We are deliberately not printing per-seat numbers here. Both vendors have restructured this packaging more than once, and any figure we published would be wrong within a quarter. Check the current Microsoft 365 and Google Workspace plan pages, confirm whether the capability you want is in your specific plan or an add-on, and confirm whether it requires an annual commitment. That is a five-minute check and it is the only one that will be accurate on the day you read this.
The practical consequence for a small business: with Google the assistant tends to arrive as part of the plan you already pay for, so the decision is mostly about governance. With Microsoft there is usually a real budget conversation, which means you should pilot before you buy for everyone.
What They Genuinely Help With
After watching real staff use these tools rather than watching demos, four categories hold up.
First drafts. This is the strongest use case and the least glamorous. A rough draft of a client email, a policy, a job posting, or a proposal section is faster to fix than to originate. The tool gets you to a page with words on it, and the human does the part that requires judgment.
Summarizing. Meeting recap from a recorded Teams or Meet call, the gist of a forty-message email thread, the important parts of a long PDF before a call. This is where people who were skeptical usually change their minds. It is also where quality varies most — a well-run meeting with clear decisions summarizes well, and a meandering one summarizes into vague mush, because there was nothing crisp to find.
Finding things. Asking “what did we send the county about the renewal in March” and getting the document beats remembering the folder structure. For companies with years of accumulated files, this alone can justify the tool.
Spreadsheet help. Explaining what a formula does, writing one from a description, and describing what a table shows. Excel and Sheets assistance is real, but treat it as a knowledgeable colleague who is occasionally confidently wrong, not as an auditor.
Where They Disappoint
Set expectations here or your rollout will stall in week three.
- Numbers still need checking. Analysis of your own data can be subtly wrong in ways that read fluently. Anything financial gets verified by a person.
- Output quality depends on your inputs. The assistant cannot summarize a meeting nobody recorded, or find a document that was emailed as an attachment and never saved. Companies with disciplined file habits get dramatically more out of these tools than companies without.
- The tone is generic by default. Drafts come out reading like a press release. That is fixable with instruction, but it is work, and it means “just send what it wrote” is a bad habit.
- It will not fix a broken process. If your invoicing is a mess because three people do it three ways, an assistant produces three kinds of mess faster.
- Adoption is the real project. The most common failure we see is licenses bought for everyone, no training, and a handful of people using it after a month. The hard part is getting people to change how they work, not installing anything.
The Question Nobody Asks First
Here is the part that belongs at the top of every evaluation and is almost always missed.
An AI assistant can see whatever the signed-in user can see. That is the entire security model, and on paper it is correct: the assistant inherits permissions, it does not bypass them. The problem is that in most small businesses, permissions have been accumulating without review for years.
Think about what is realistically sitting in your environment right now. A folder shared with “Everyone” for a project that ended three years ago. Sharing links set to “anyone in the organization” because it was faster than picking names. A departed employee’s mailbox delegated to two people who no longer need it. A salary spreadsheet parked in a general operations folder because someone was in a hurry. A folder of HR investigations inside a site the whole department can open.
None of that has caused a problem yet, because nobody goes browsing. Search was bad enough that obscurity worked. An assistant that reads across everything a user can reach removes the obscurity in about a week. The first time a staff member asks “what do we pay for the Fresno office” and gets a confident, correct, and deeply awkward answer, you will have discovered your permissions debt the expensive way.
So the correct sequence is: clean up sharing first, deploy the assistant second. Concretely, before you enable anything broadly —
- Run a sharing report on SharePoint, OneDrive, or Google Drive and review every location shared organization-wide or with an open link.
- Move genuinely sensitive content — payroll, HR files, legal, patient or client records, banking — into locations with explicit, named access.
- Set link defaults to specific people rather than anyone with the link, and put an expiration on external shares.
- Clean up mailbox delegation and shared mailbox membership.
- Apply sensitivity labels to the categories you never want an assistant summarizing, and decide up front whether recording and transcribing meetings is allowed by default.
- Write a short acceptable use note for staff: which assistant is approved, what may not be pasted into any personal or consumer account, and who to ask.
If you are in healthcare, this step is not optional. Confirm the business associate agreement covers the specific service you are turning on, and block the consumer versions of both assistants on managed devices. How to Pilot Without Wasting Money
Pick five to eight people who actually write, summarize, or dig for documents all day — an owner, an office manager, someone in finance, someone in sales. Give them thirty days, three specific tasks to try, and a shared document to record what worked and what did not. At the end, ask one question: would you give this up? The answer is unambiguous, and it tells you far more than a feature comparison.
Then decide licensing by role rather than by headcount. Not everyone needs it. A warehouse or clinical role that lives in one line-of-business application will get very little from a document assistant, and paying for those seats is how these projects get labeled a failure.
So Which One?
For nearly every small business, the answer is: the one that matches the suite you already run. The assistant is only as good as the mail, files, and meetings it can reach, so pairing Copilot with a Google-based company or Gemini with a Microsoft-based one throws away the entire advantage. What tasks do these tools genuinely help with today?
Four categories hold up in daily use. Drafting, where a rough first version of an email, policy, or proposal is faster to edit than to write. Summarizing, particularly meeting recordings and transcripts, long email threads, and documents you need the gist of before a call. Finding things, where a plain-language question beats trying to remember which folder something is in. And spreadsheet assistance, mainly explaining and building formulas and describing what a table shows. What they are not is a replacement for a person who checks the work. Every output needs a human read before it goes anywhere that matters.
Can we use these tools in a healthcare practice with patient data?
Only with the paperwork and configuration in place first. Both Microsoft and Google will sign business associate agreements covering specific services in their business and enterprise plans, but coverage is service by service rather than blanket, and the free consumer versions of both assistants are not covered at all. Before any assistant touches an environment with protected health information, confirm the business associate agreement covers the exact service you are enabling, confirm which plan the users are licensed under, block the consumer versions, and fix the sharing permissions on any location that holds patient data. The risk is rarely the assistant itself. It is a staff member pasting patient information into a personal account on a home computer.
