Understanding the Ransomware Threat
Ransomware is malicious software that encrypts your files and demands payment for the decryption key. For small businesses, a successful ransomware attack can mean weeks of downtime, significant financial losses, and permanent damage to customer trust.
Ransomware attacks against small businesses have surged in recent years because attackers know smaller companies are less likely to have robust defenses in place. The ransom demands themselves range from a few thousand dollars to hundreds of thousands – but the real cost is the operational downtime and data loss that comes with an attack, which often exceeds the ransom amount many times over.
Essential Protection Steps
1. Backup Strategy
Your backups are your ultimate defense against the encryption itself. If you can restore your systems from clean backups, you don’t need to pay a ransom to get your data back — though, as we cover below, that is only half of what a modern attack holds over you. Follow the 3-2-1 rule: maintain at least 3 copies of your data on 2 different types of storage, with 1 copy stored offsite or in an isolated cloud environment.
Critically, your backups need to be ransomware-resistant. Modern ransomware specifically targets backup systems to maximize pressure on victims. Use immutable backups that can’t be modified or deleted once written, keep at least one copy completely disconnected from your network, and test your restoration process regularly. A backup you’ve never tested is a backup you can’t trust.
2. Email Security
The most common entry points are stolen credentials, exposed remote access, and phishing email – and email is the one your staff touch every day, arriving either as a malicious attachment or a link to a compromised website. Implementing strong email filtering is one of the most impactful steps you can take. Modern email security tools scan attachments in a sandboxed environment before delivery, check links against known threat databases in real time, and flag suspicious messages for review.
Pair technical controls with employee training. Teach your staff to verify unexpected attachments, hover over links before clicking, and report suspicious emails to your IT team immediately. A well-trained employee who catches a phishing email before clicking is your most effective line of defense.
3. Endpoint Protection
Modern endpoint protection goes far beyond traditional antivirus. Next-generation endpoint detection and response (EDR) platforms use behavioral analysis to identify ransomware by what it does – rapid file encryption, suspicious process behavior, unauthorized system changes – rather than relying solely on known virus signatures.
When EDR detects ransomware behavior, it can automatically isolate the affected device from your network, halt the encryption process, and alert your security team – all within seconds. This containment capability is critical because ransomware spreads fast. The difference between catching it on one workstation versus letting it reach your file server can be the difference between a minor incident and a catastrophic one.
4. Network Segmentation
Network segmentation limits how far ransomware can spread if it does get past your defenses. By dividing your network into isolated segments with controlled access between them, you prevent a single compromised device from reaching every system in your organization.
At minimum, separate your critical systems (servers, backups, financial systems) from general-purpose workstations. Restrict access between segments so that users and devices can only reach the resources they actually need. This way, even if ransomware infects an employee’s workstation, it can’t jump directly to your backup server or critical databases.
5. Patch Management
Many ransomware attacks exploit known software vulnerabilities that patches have already been released for. Keeping your operating systems, applications, and firmware up to date closes these known entry points. Prioritize security patches for internet-facing systems and commonly targeted software like web browsers, email clients, and remote access tools.
6. Access Controls
Limit user permissions to the minimum needed for each role. If an employee doesn’t need administrator access, don’t give it to them. Enable multi-factor authentication (MFA) on all accounts, especially for remote access and administrative functions. Disable Remote Desktop Protocol (RDP) on any system that doesn’t absolutely require it – exposed RDP is one of the most common ransomware entry points.
Double Extortion: Why Backups Aren’t the Whole Answer
Clean, tested backups solve the encryption half of the problem. They leave the other half untouched.
Most ransomware crews now steal your data before they encrypt it. The encryption is the loud part; the quiet part is the days or weeks beforehand spent copying customer records, financials, contracts, and email out of your network. Then the demand arrives with two threats attached: pay to get your files back, and pay again to stop us publishing them. This is called double extortion, and it’s the reason “we have backups” is no longer a complete answer to “are we protected?”
Restoring from backup gets you operating again. It does nothing about the copy already sitting on the attacker’s server. That has three practical consequences:
- Detection matters as much as recovery. EDR and network monitoring are what catch an intruder during those quiet weeks, before anything is encrypted or copied out. By the time the ransom note appears, the theft has already happened.
- Keeping them out is the only real prevention. The most common entry points are stolen credentials, exposed remote access, and phishing email – which is why multi-factor authentication on every account, and especially on remote access, does more to prevent a data leak than any backup ever will.
- Watch what leaves. Egress monitoring – alerting on unusual volumes of data heading out of your network to somewhere it has no business going – is one of the few controls that can catch exfiltration while it is still in progress.
There is a legal dimension as well. If regulated or personal data left your network, a successful restore does not make the incident go away. Breach notification duties can still apply – to clients, to regulators, and for healthcare organizations to affected individuals and to HHS – and those obligations exist whether or not you paid, and whether or not you lost a single file. Treat any ransomware incident as a potential data breach from the first hour, and get your IT provider and legal counsel involved on that basis.
If You’re Attacked
If ransomware hits despite your precautions, how you respond in the first minutes matters enormously. Here’s what to do:
- Disconnect affected systems from the network immediately. Unplug Ethernet cables and disable Wi-Fi. Speed is critical – every second of connectivity gives the ransomware more time to spread.
- Contact your IT provider or security team. They can assess the scope of the attack, identify the ransomware variant, and begin containment and recovery procedures.
- Report the attack to law enforcement. File a report with the FBI’s Internet Crime Complaint Center (IC3) and your local FBI field office. Law enforcement may have decryption keys for known ransomware variants.
- Do not pay the ransom unless absolutely necessary. There’s no guarantee you’ll get your data back, and payment funds future attacks. If you’re considering payment, consult with security professionals and legal counsel first.
- Restore from clean backups. Once the ransomware is contained and removed, restore your systems from backups that predate the infection. Verify the backups are clean before restoration.
Prevention is always better than response. The cost of implementing proper protections is a fraction of what a successful ransomware attack will cost your business in downtime, data loss, and recovery expenses.
